Terms & Conditions
The ground rules for using a calm, evidence-backed workspace for consequential work.
Replace bracketed organisation details and ask qualified counsel to confirm the final language for your jurisdiction, employment context, retention schedule and service providers.
1. About these terms
These Terms of Use govern access to the MeritCoin workspace provided by [Organisation legal name] ("Organisation", "we", "us"). MeritCoin helps teams connect work, contribution, recognition and performance evidence. These terms are a product template: your organisation should insert its legal entity, governing law, support contact and any employment-specific rules before publishing.
2. Accounts and access
You must use your own work account, keep credentials confidential and promptly report suspected compromise. Access is granted by an organisation administrator and may be limited, suspended or removed when your role or engagement changes. You are responsible for checking that information you submit is accurate and that you have permission to upload or share it.
3. Work records and documents
Your organisation and its people retain their rights in work product, documents, comments, feedback and other material submitted to the workspace. You grant the Organisation and its service providers the limited rights needed to host, process, display, version, secure and back up that material for the workspace. Do not upload material you are not authorised to handle, or information that conflicts with your organisation's confidentiality rules.
4. Tasks, approvals and recognition
MeritCoin records workflow signals; it does not replace your organisation's approval policy, legal review, delegated authority or employment process. A task status, approval, feedback item, appraisal draft or recognition note must be reviewed by the people responsible for that decision. Keep approval comments factual and use the document version trail when making changes.
5. MeritCoins
MeritCoins are internal recognition units configured by the Organisation. They are not money, wages, securities, stored value, a gift card or a promise of compensation. Unless the Organisation expressly states otherwise, they have no cash value, cannot be redeemed outside the workspace and cannot be transferred to another organisation. Allocations, limits and corrections are controlled by the Organisation's recognition policy.
6. AI-assisted features
AI features may summarise records you are authorised to view and produce a private draft with evidence links. Output is provided for review only and is not legal advice, an employment decision, a performance rating or a factual guarantee. You remain responsible for verifying sources, context and conclusions before relying on any generated text.
7. Acceptable use
You may not use MeritCoin to:
- Access another person's account, bypass permissions, probe the service or interfere with its security or availability.
- Upload malware, unlawful material, confidential information you are not authorised to process, or content that harasses, discriminates against or endangers another person.
- Misrepresent work, manipulate recognition or approval records, or use an appraisal output as an automated decision without appropriate human review.
- Copy, resell, scrape or reverse engineer the service except where applicable law expressly permits it.
8. Availability and changes
We may maintain, update, limit or discontinue parts of the service and will make reasonable efforts to communicate material changes through the Organisation. The service may be unavailable during maintenance or because of events outside our reasonable control. Keep appropriate copies of documents and follow your organisation's records policy.
9. Disclaimers and responsibility
To the extent permitted by law, the service is provided as available and without guarantees that every record, notification, integration or AI output will be uninterrupted, complete or error-free. Nothing here limits rights or protections that cannot legally be limited. Your organisation should have counsel complete the liability allocation, governing law and dispute provisions for its deployment.
10. Contact
Questions about these terms or your workspace should go to [support email] or [organisation postal address]. This template was last updated 6 September 2026.
